QUALIFYING STANDARD: The Division I Women's Outdoor Championship qualifying standards must have been met during the current track and field season.

 

 

INITIAL ENTRY PROCEDURE:

  1. An alphabetical team roster is DUE BY NO LATER THAN Tuesday, April 29th at 1:00 PM.

  2. Complete the roster and follow the sending instructions. You will receive a confirmation page immediately - PRINT THIS CONFIRMATION FOR YOUR RECORDS as it will be the only confirmation that you will receive.

 

FINAL DECLARATION PROCEDURE:

  1. Complete this form and follow instructions on the website for submission of declarations. You will receive a confirmation page immediately - PRINT THIS CONFIRMATION FOR YOUR RECORDS as it will be the only confirmation that you will receive. ALSO: Remember to email or fax a copy of this confirmation to your Seeding Advisor - see the list below.

  2. These declarations MUST be received by no later then NOON on Tuesday, May 13th.

 

HEPTATHLETES:

  1. Declarations for all heptathletes, whether or not they have met the qualifying standard, must be received by Lancer Timing by Friday, May 9th. Entries should include athlete's name, school score, site and date of score. Please email these entries to rick@lancertiming.com.

  2. If a heptathlete meets the standard after the May 4th deadline, the coach must call Gothard Lane (508-771-5060  ext. 243) on Monday, May 12th prior to 12:00 Noon to inform the ECAC that the athlete has met the establish standard.

  3. If there are fewer than 12 heptathletes declared who have met the standard, those heptathletes who have not met the standard shall be selected, according to the highest point accumulations until the field of 12 is filled.

  4. Coaches entering heptathletes who have not met the standard must call Gothard Lane between 1:00 PM and 2:00 PM on Monday, May 12th to determine if their athlete has been accepted into the competition. The selected heptathletes will also be posted on the ECAC website under Championships.

 

ENTRY FEE:

  1. There is a base entry fee of $125.00 per team plus a fee of $25.00 per each individual or relay team declared.

    Example: 3 individual entries plus a relay would pay:

    ·  $125 Team Entry

    ·  $75 ($25 x 3 athletes)

    ·  $25 Relay Team

    ·  $225 TOTAL

  2. The maximum entry fee, including the team entry fee, is $360.

  3. REMINDER: Submission of the Team Roster is considered a statement of intent to participate and automatically triggers the $125 team entry fee.  Similarly, any declared entry (individual or relay) automatically triggers the appropriate entry fee.  An institution that elects not to participate in the championship, after entering, is not excused from paying the entry fee.

  4. After submitting final declaration information, if you have a relay entered with individuals NOT competing in any other events, you MUST email Gothard Lane at glane@ecac.org and designate which athletes are ONLY relay members.  If you fail to do this, ALL athletes entered listed on the final declarations will be assessed the $25 individual fee.

 

LATE ENTRIES:

  1. Any Team Roster received after the published deadline shall be considered a late entry.
  2. Late entries shall be accepted only after a $300 penalty is paid to the ECAC.  NOTE: this penalty fee is a flat fee irrespective of the number of entrants on the institution’s entry roster.
  3. Late individual entries (i.e., individuals omitted from the rosters) shall be considered by the games committee.
    1. A petition must be submitted to the Meet Director by the coach of the team.  For a petition to be considered, the team must already have been entered in the meet in accordance with the proper entry procedures.
    2. The petition must include a copy of the official submitted entry roster, signed by the institution’s director of athletics, indicating that the team has been entered and the additional athletes is eligible for competition.
    3. A non-refundable $50 per athlete late fee must accompany the petition.  The payment of the fee and the confirmation of eligibility MUST occur prior to the close of declarations (NOON on Tuesday, May 13th).
  4. HERE ARE NO PROVISIONS FOR LATE FINAL DECLARATIONS.  DECLARATIONS RECEIVED AFTER NOON ON TUESDAY, MAY 8TH WILL NOT BE ACCEPTED.

 

FINAL RESULTS & PERFORMANCES:

  1. All results and performances of athletes intending to declare must be sent to Walt Murphy at wmurphy25@aol.com no later than Monday May 12th at 1:00 PM. When submitting qualifiers, the following information MUST be included:

    • Athlete's Name

    • Year and School

    • Qualifying Mark

    • Meet and Date the mark was recorded

  2. Based on the descending order list compiled by Walt Murphy, your seeding advisor will verify seed performances upon receipt of the final entry form. Any declared athlete that is not verified on this descending order list will not be permitted to compete in the Championship.

  3. On the final declaration entry form, if an athlete does not make the ECAC qualifying standard, please indicate whether the athlete is a conference champion (CC) or a waiver of standard (WS).

 

SEEDING INFORMATION:

  1. A copy of your Final Declarations confirmation from Lancer Timing must be emailed or faxed  to your appropriate seeding advisor (see list below).

  2. Each seeding advisor will verify performances from Walt Murphy's performance list.

  3. If the performance of your athlete is not listed on Walt Murphy's performance list, the athlete will not be accepted into the meet.

            SCRATCHES: After the Declaration of entries, scratches will be permitted up to 1:00 pm on Thursday May 15th.  The method of scratching athletes from one or more events will be via online form to be posted in early May.

GENERAL INFORMATION:

        Awards: An awards ceremony will be held Sunday, immediately following the completion of the last event.

       

        Competition Numbers: Numbers are to be worn on the front of the uniform.

 

        Credentials: Credentials will be included in the coaches packets. All athletes, coaches, and administrators will be required to wear credentials.

 

        Packet Pickup: Coaches packets will be available at the track on Friday (16th) afternoon. Teams MUST have paid entry fees before picking up packets.

 

 

ECAC DIVISION I WOMEN"S "WAIVER OF STANDARDS" POLICY:

 

The following policy was approved by the ECAC Division I Women's Track and Field Committee in September of 1995 and will be in effect for the 2008 ECAC Women's Division I Outdoor Track and Field Championship.

 

"Waiver of Standards Policy": An institution that has NO athlete who has met any track (or relay event) standard or field event standard is permitted to declare a single track event (OR relay team) AND a single field event entry.

 

An institution that has a qualifier in a track event and NONE in a field event is permitted to use the "Waiver of Standards Policy" to declare a single field event entry. An institution that has a qualifier in a field event and NONE in a track  event is permitted to use the "Waiver of Standards Policy" to declare a single track event entry.

 

NOTE: The ECAC will accept all entries from Conference Champions. Institutions will designate one conference as their primary conference. These entries will be accepted even if they have not met the qualifying standard. This is NOT in addition to the "Waiver of Standrards Policy."

 

This Waiver does NOT apply to the multi-events. You may not enter a Heptathlete using the Waiver of Standards Policy.
